Switching from Buildium

Plenty of self-managed boards start on Buildium. This guide is for boards that have decided to move: which reports to export, what DuesIQ brings in for you during setup, why owners sign up for autopay once more, and a timeline and checklist to keep the switch clean.

Every Buildium step below links to Buildium’s own help article, read October 15, 2026. Menus change, so if something has moved, the article is the place to check.

Before you start: pick a switch date

The switch date is your first day on DuesIQ. Your Buildium history ends the day before. The first day of a month works best, because your reports, bank statements and dues all line up with it. The start of your fiscal year is even cleaner, but you don’t need to wait for it.

Every report below is pulled as of the day before that date. Keep Buildium running until you are live on DuesIQ and the last payments made through Buildium have reached the bank.

What to export from Buildium

CSV or Excel is easiest to bring in. PDF works as a backup copy for your records.

Everything Buildium can export at once
Settings > Export Data. Pick Associations and Accounting, and anything else you want to keep. It comes out as Excel files. Buildium notes it does not include every ledger financial, so pull the reports below as well. Buildium: Export data from Buildium
Owners and contact details
Reports > Current Association Owners, saved as CSV or Excel. Buildium: Current association owners report. For mailing addresses, the mailing labels export from the association owners list. Buildium: Mailing labels
Who owes what on your switch date
Reports > Delinquent Association Owners, with the As of date set to the day before you switch. It lists only owners who owe, so owners who paid ahead show up in their statements instead. Buildium: Delinquent association owners report
Each home’s bills and payments
Reports > Association Owner Statement, covering every year you want to bring over. Only posted charges appear on it. Buildium: Association owner statement
The books
Reports > General Ledger for each fiscal year you want, saved as CSV or Excel, plus Reports > Trial Balance as of the last day of each of those years and the day before you switch. A balance sheet on the switch date is a good extra check. General ledger, Trial balance, Balance sheet
Bank reconciliation
Reports > Bank reconciliation. It shows the most recent reconciliation, so save it after your last reconciliation in Buildium, and keep your bank statements. Buildium: Bank reconciliation report
Documents
Download them from the Files page or each record’s Files tab. Files download one at a time, so start with what owners and buyers ask for: governing documents, budgets, minutes and insurance. Buildium: Managing your files
Who was on autopay
Reports > Scheduled Online Payments. Use it as your list of owners to remind about signing up again. Buildium: Scheduled online payments report

Do this before your Buildium subscription ends. Buildium’s terms of use do not promise to keep an account’s data after it closes, so save copies of everything you might need later.

What DuesIQ brings in for you

Setup is done for you, free, on every plan. Send us the files above and we set up your community, usually within a week:

Homes and owners
Every home, its owners and their contact details
Opening balances
What each home owed, or had paid ahead, the day before you switch
Your chart of accounts
Your accounts, matched to DuesIQ’s, so reports read the way your board is used to
Up to seven years of books
One fiscal year at a time, oldest first. Each year has to end exactly where your Buildium trial balance says it did before it is posted.
Each home’s history
Every bill and payment for each home, checked against the years above at every year end and for every home
Documents
Governing documents, budgets, minutes and anything else you send us

Before you go live, we walk your board through it so you can check the numbers against the Buildium reports you pulled.

Autopay: owners sign up once more

This is the one step owners have to do themselves. When an owner sets up autopay, the bank or card authorization belongs to the company that collected it. It can’t be moved to a different system, so saved autopay in Buildium does not come over.

In DuesIQ each owner authorizes autopay once, by bank account or card, and picks a day of the month between the 1st and the 28th. It takes about a minute. After that it pays whatever is open on the home’s account, so a dues change later never means signing up again.

Use Buildium’s scheduled online payments report as your list. Tell those owners the date their Buildium autopay ends and ask them to sign up in DuesIQ before the next dues date.

A timeline that works

Week 1: export

Pick the switch date. Pull the reports above as of the day before it, download your documents, and send it all to us.

Weeks 1 and 2: setup

We set up homes, owners, accounts, opening balances and history. You check the opening balances against Buildium’s delinquent owners report and trial balance.

Switch date: go live

Owners get your note on how to pay now. Autopay users sign up again. New bills come from DuesIQ, and your 30 free days start.

Weeks 3 and 4: wrap up

Once the last Buildium payments have reached the bank, pull your final reports and the last bank reconciliation. Then cancel Buildium under Settings > Account and billing > Manage subscription. Buildium: How do I cancel my account?

Common questions

Can our owners’ autopay move from Buildium to DuesIQ?

No. A bank or card authorization belongs to the company that collected it, so it can’t be moved to another system. Each owner signs up for autopay once in DuesIQ, which takes about a minute. Buildium’s scheduled online payments report shows who was on autopay, so you know who to remind.

How much history can we bring over?

Up to seven years. DuesIQ brings in your books one fiscal year at a time, oldest first, and each year has to end exactly where your Buildium trial balance says it did. Each home’s bills and payments come in too, and they have to match those years.

Should we cancel Buildium before we switch?

No. Keep it until DuesIQ is live and you have pulled your final reports, after the last payments made in Buildium have reached the bank. Buildium says access continues through the end of the period you already paid for.

What does the move cost?

Nothing. Setup and the move are free on every DuesIQ plan, with no setup or onboarding fee. Your 30 free days start the day you go live, not the day you sign up.

How long does it take?

Most of the work is the export, which a treasurer can usually finish in an afternoon or two. Once we have your files, we usually have everything set up within a week. Plan on two to four weeks from your first export to going live, so you can pick a clean switch date.

Our fiscal year does not start in January. Does that matter?

No. History comes in by your own fiscal year, so pull Buildium’s trial balance at the end of each of your fiscal years rather than at each December 31.
