Privacy Policy

DuesIQ is software that homeowners associations (HOAs) use to bill dues, take payments, keep their books, and stay in touch with residents. This policy explains what information DuesIQ collects through duesiq.com, the DuesIQ phone app, and the emails and letters we send for your HOA, and what we do with it.
Your HOA and DuesIQ
Your HOA decides to use DuesIQ and decides what goes into it: who lives in each home, what each home owes, the rules, and who on the board can see what. DuesIQ stores and handles that information for your HOA so the board can run the community.
If you have a question about your HOA's records, like a charge, a violation, or who can see your home's account, ask your board. For anything about DuesIQ itself, email support@duesiq.com.
What we collect
Your account. Your name, email address, phone number, and the password you choose (stored only in scrambled form, never as written). If you turn on two-step sign-in or sign in with your fingerprint or face, we store what is needed to check it. Your fingerprint and face never leave your device.
Your home. The address, the owners and other people in the household, and a mailing address if it is different.
Money. What your home owes and has paid: invoices, payments, credits, autopay, late fees and refunds. When you pay by card or bank account, Stripe collects the card or bank details on its own form. DuesIQ never sees your full card or bank account number. We only get back what Stripe shows us, like the card brand and last four digits.
What you send in DuesIQ. Messages to the board, posts on the community bulletin board, architectural requests, photos and documents you upload, reservations, and votes. If a vote is a secret ballot, the board does not see how you voted.
For board members. The HOA's own money records: its bank accounts and bank transactions (through Plaid when the board connects a bank), bills from vendors, checks, and bank statements. These can include names and addresses of residents and vendors.
Device and usage. When you use DuesIQ we receive your IP address, your browser or phone type, and the pages you open. We count page views with Vercel Analytics, which uses no cookies and does not identify you. When something breaks, we save an error report that can include your account and the page you were on, so we can fix it.
Cookies. DuesIQ uses cookies to keep you signed in and remember your settings. Our cookie policy lists them.
The DuesIQ phone app
The app opens the same DuesIQ you see on the website, so it collects the same information described here and nothing more. It does not track your location. It only uses your camera or photos when you choose to take or upload a picture.
If you allow notifications, your phone gives us a notification address so we can send you alerts. We keep amounts and private details out of alerts. You can turn them off any time in your phone's settings.
The app has no ads and does not track you across other apps or websites.
Our public website
Our public pages (the home page, the guides for HOA boards, the sign-up page and pages like this one) use Google Analytics, Microsoft Clarity and the Meta pixel to see how people find DuesIQ and use those pages. These only load on public pages. They never load after you sign in, and never in the phone app.
If you ask for a demo or sign up your HOA, we keep what you enter (like your name, email, phone and your HOA's name) and how you heard about us, so we can follow up.
How we use it
- To run your HOA's DuesIQ: bills, payments, receipts, reservations, votes, messages and records.
- To send the emails, alerts and printed letters your HOA sends through DuesIQ.
- To keep accounts safe and stop fraud.
- To answer you when you ask for help.
- To find and fix problems and make DuesIQ better.
We do not sell your information, and we do not use it to show you ads.
Who sees it
Your HOA's board and anyone the board gives access to, like a manager or a committee, based on the access they are given.
Your neighbors see what you post on the bulletin board and anything your HOA makes public. You only show up in your HOA's resident directory if you or your board turn that on.
Buyers' closing companies. When a home is sold, the title or closing company can order an estoppel certificate, which lists what that home owes the HOA.
Companies that run parts of DuesIQ for us. They only get what they need to do their part:
- Supabase stores the database, files and sign-ins.
- Vercel runs the website and counts page views.
- Stripe processes card and bank payments.
- Plaid connects the HOA's bank accounts, when a board chooses to.
- Resend sends email.
- Lob prints and mails letters the board sends.
- Apple and Google deliver app notifications.
- Anthropic runs the outside AI tools described below, when they are turned on.
- Google, Microsoft and Meta, on our public pages only.
When the law requires it, like a court order, or to protect people or DuesIQ from harm. If DuesIQ is ever sold or merged, this information would move with it and stay under this policy.
Outside AI
Some DuesIQ tools use an outside AI service to do their work. That service is Anthropic, the company that makes the Claude AI. These tools read bills, checks and bank statements, sort bank charges, draft agreement and estoppel forms, write text for an HOA's public page, and answer questions in Ask DuesIQ.
When one of these tools runs, Anthropic may receive what the tool needs to do the job. That can include names, home addresses, email addresses, amounts owed and paid, bank and payment details shown on a statement or check, and the documents you upload.
Anthropic does not use this information to train its AI, and it protects the information at least as well as this policy requires.
When you start one of these tools yourself, DuesIQ asks you first. You can take that back any time in Settings, under Outside AI. Some work runs on its own, like sorting bank charges and reading bills emailed to the HOA. Only the board's switch controls that. Your HOA's board can turn outside AI off for the whole HOA in Settings. When it is off, none of these tools run and nothing is sent to Anthropic.
How long we keep it
- Money records (invoices, payments, bank transactions): 7 years, because HOAs need them for their books and taxes.
- Security and activity logs: 2 years.
- Records of emails sent: 1 year.
- People who move out or are removed: 2 years after they leave.
- Everything else: as long as your HOA uses DuesIQ.
Deleting your account
You can delete your account yourself in Settings, under Security, then "Delete my account." That removes your sign-in, email, phone, saved cards and bank accounts, profile photo, directory listing, and personal settings. If your card pays your home's autopay, that autopay stops and your household and board are told.
Some things stay, because they belong to your HOA's records: the money records for your home, and if you own the home, your name and mailing address, so the HOA can still reach the owner. Board members have to be taken off the board before they can delete their account.
Your choices
- Change your name, email and phone in Settings.
- Choose which emails you get, or unsubscribe using the link in any email.
- Turn outside AI off for yourself in Settings.
- Turn app notifications off in your phone's settings.
- Delete your account, as described above.
- Ask for a copy of your information, or ask us to fix or delete it, by emailing support@duesiq.com. Depending on where you live, the law may give you more rights over your information. We honor them, and we may need to confirm who you are first.
Security
Information is encrypted when it is sent and when it is stored, and board members must use two-step sign-in. No system is perfect, so please keep your password to yourself. Our security page has more.
Children
DuesIQ is for adults who live in or manage an HOA community. It is not meant for children under 13, and we do not knowingly collect information from them. If you think a child has given us information, email us and we will delete it.
Changes to this policy
If we change this policy, we will post the new version here and update the date at the top. If a change is big, we will also tell you in DuesIQ or by email.
